We are committed to protecting your privacy and handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Velzo Ai Ltd is a UK digital marketing agency providing website design, SEO, Google Business Profile optimisation and social media management. We are the data controller for the personal information described in this policy.

  • Company: Velzo Ai Ltd, registered in England and Wales, company number 16669897
  • Registered office: 1 Jacques Road, Burton Latimer, Kettering, NN15 5GJ
  • Email: contact@velzoai.co.uk

What information we collect

We only collect the information we need. This may include:

  • Contact details you give us through our contact form, by email or on WhatsApp: your name, business name, email address, phone number, website address, town and details of what you need help with.
  • Business information you share with us so we can deliver our services, such as website content, photos, logins you choose to give us access to (for example your Google Business Profile or social media accounts) and information about your customers that appears on your own website or profiles.
  • Billing information such as invoice details and payment records. We do not store card details.
  • Website usage information collected automatically when you visit our website, such as your IP address, browser type, device, pages visited and how you arrived at our site. See “Cookies” below.

How we use your information

  • To reply to your enquiry and provide a free website and SEO audit you have asked for.
  • To provide, manage and invoice the services you buy from us.
  • To send you updates about your project, reports and service messages.
  • To understand how our website is used so we can improve it.
  • To meet our legal, tax and accounting obligations.

We will only send you marketing emails if you have agreed to receive them, and you can unsubscribe at any time.

Our legal basis for using your information

  • Contract: when we need your information to provide a service you have asked for, or to take steps before entering into a contract (for example preparing a quote or audit).
  • Legitimate interests: to run and improve our business and website, and to reply to enquiries, where this does not override your rights.
  • Legal obligation: to keep financial records and meet our legal duties.
  • Consent: for marketing emails and for non-essential cookies. You can withdraw your consent at any time.

Who we share your information with

We never sell your personal information. We only share it with trusted providers who help us run our business, under contracts that require them to keep it secure:

  • Website hosting and email: Hostinger.
  • Messaging: WhatsApp (Meta), if you choose to contact us on WhatsApp.
  • Website analytics: Google Analytics and Google Search Console (Google).
  • Accounting and professional advisers, such as our accountants.
  • Platforms we manage on your behalf, such as Google Business Profile, Facebook and Instagram, when you ask us to.

We may also share information if the law requires us to.

International transfers

Some of our providers, such as Google and Meta, may process data outside the UK. Where this happens, we rely on UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement or standard contractual clauses.

How long we keep your information

  • Enquiries that do not lead to work: up to 12 months.
  • Client records and project files: for as long as you are a client and up to 6 years afterwards.
  • Financial records: 6 years, as required by HMRC.

Cookies

Our website uses cookies, which are small files stored on your device. Some are essential to make the website work and keep it fast and secure. Others, such as analytics cookies, help us understand how visitors use the site and are only set with your consent. You can control or delete cookies through your browser settings.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • object to or ask us to restrict how we use your information;
  • ask us to transfer your information to another organisation;
  • withdraw your consent at any time, where we rely on consent.

To use any of these rights, email contact@velzoai.co.uk. We will reply within one month. There is normally no charge.

Keeping your information safe

We use appropriate technical and organisational measures to protect your information, including secure (SSL) connections on our website, strong passwords and access only for people who need it.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
